Privacy Notice for the Venue Wi-Fi

The purpose of this privacy notice is to inform you on how your personal data is used by us here at Utilita Bowl when you sign up to use the venue’s free Wi-Fi.
This privacy notice information is related to this specific purpose only and is provided by Utilita Bowl (legal entity: RB Sports & Leisure Holdings Ltd), in supplement to our main privacy policy.
Who collects my personal data?
The Wi-Fi sign-up form vendor, on behalf of Utilita Bowl.
When you connect to the “Utilita Bowl” Wi-Fi network, you will be redirected to a sign-in page. This sign-in technology is provided by Purple (Purple WiFi Limited).
Even though Purple’s technology captures the information you submit, they are doing so under the direction of Utilita Bowl (legal entity: RB Sports & Leisure Holdings Ltd). Utilita Bowl has defined what personal data is captured during the sign-in process and how it gets used.
In addition, WAISL Digital provides ongoing digital and technical support to Utilita Bowl in connection with the Wi-Fi platform. In carrying out that support, WAISL Digital may access the personal data collected through the Wi-Fi sign-up process, acting strictly on Utilita Bowl’s documented instructions.
Therefore, under the definitions of the current Data Protection Laws:
- Utilita Bowl is a Data Controller
- Purple is a Data Processor
- WAISL Digital is a Data Processor
You should only contact Utilita Bowl for any queries or concerns relating to this privacy notice.
What personal information do you collect and why?
Basic personal data, contact details and device MAC address, for the purposes described below.
The following fields of personal information will be collected when you register on the “Utilita Bowl” Wi-Fi network:
Your device’s MAC (Media Access Control) address
Processed under the lawful basis of legitimate interests, in order to:
- Facilitate the service and simplify returning visits by you
- Run analytics to improve the wireless coverage, service and venue design to further enhance your experience
- Maintain the security and integrity of the Wi-Fi network
Your first name, last name and email address
Processed under the lawful basis of legitimate interests, in order to:
- Provide and administer access to the Wi-Fi service
- Help determine that children aged 13 or under are not using this service
- Identify and recognise returning visitors to the venue
- Maintain the security and integrity of the Wi-Fi network and investigate misuse
We have considered our legitimate interests in providing a secure and reliable Wi-Fi service to attendees and have balanced these against your rights and freedoms. You have the right to object to this processing at any time – see “How can I get in touch regarding this privacy notice?” below.
Do you collect child data?
Not intentionally.
If you sign up to this service and are aged 13 or under, then you are in breach of our terms and conditions. You will need a parent or guardian to enter their email address and complete signup instead.
Where is my personal data stored?
In the United Kingdom and/or European Economic Area (EEA) only.
- Once the sign-up form is submitted, your personal information will be stored in a Purple cloud-hosted database within the UK and/or EEA.
- Data is periodically sent automatically to our data and insights agency, held within the UK.
Is my personal data shared with any other third parties?
Yes, with our marketing agency.
- Your personal information will be sent securely to our data and insights agency, to be included within the Utilita Bowl database that they manage. This database is stored within the UK.
- Our data and insights agency are purely acting as a Data Processor, for specific marketing purposes defined by us here at Utilita Bowl (as the Data Controller).
- Our data and insights agency may utilise third-party systems and suppliers to fulfil their services for Utilita Bowl. They will not pass your personal information onto third parties for any other purpose and your personal data will not leave the UK or EEA.
- It is possible that we will email you special offers on a club sponsor’s or partner’s behalf – but we never actually share your personal information with them.
How long do you keep my personal information for?
Retention depends on whether you have opted in to marketing.
- Not opted in to marketing: we retain your personal data for 2 years from your last Wi-Fi connection, after which it is deleted.
- Opted in to marketing: we retain your personal data for 5 years from your last engagement (a Wi-Fi connection or marketing interaction, such as opening or clicking an email). If there is no engagement in that period, you will be automatically opted out and your personal data deleted shortly afterwards.
- Other relationships: if you are on our marketing database for another reason (e.g. membership, mailing list sign-up or a business service such as corporate hospitality), your personal data may be retained for longer in connection with that relationship, unless you opt out.
Once your personal data is deleted, we may retain aggregated and properly anonymised data indefinitely for analytics, campaign evaluation, and visitor profiling. This data cannot be used to identify you.
In regard to Purple:
- If you DO complete signup, then their systems will store your device MAC address, first name, last name, email address, and (where provided) date of birth and reason for visit for the duration that the data is required to provide the service to Utilita Bowl. When this period elapses, your personal information will be automatically deleted.
- If you DO NOT complete signup, then only your device MAC address will be held for a short period from the time you disconnect from the service. Without the MAC address, Purple are technically unable to provide the service.
What are my rights?
Under UK data protection law, you have a number of rights in relation to your personal data, including:
- The right to be informed about how your personal data is used (this notice).
- The right to access a copy of the personal data we hold about you.
- The right to rectification of inaccurate or incomplete personal data.
- The right to erasure (“the right to be forgotten”) in certain circumstances.
- The right to restrict processing in certain circumstances.
- The right to data portability in certain circumstances.
- The right to object to processing carried out on the basis of legitimate interests, including for direct marketing purposes.
- The right to withdraw consent at any time where processing is based on consent.
- The right to lodge a complaint with the Information Commissioner’s Office (ICO).
